Description

Reporting to the Director of Operations, the Office Administrator plays a crucial role in the
smooth management of RMMFI’s office location and keeps the organization running smoothly.
This position involves working in person at the office to greet all visitors, providing support and
assistance to staff members, and working closely with the Operations and Finance team. It ensures
the office has all the necessary equipment and is responsible for basic bookkeeping tasks. RMMFI
is looking for an organized and proactive administrator who can support RMMFI’s staff and the
Entrepreneur community.

Core Competencies

Primary Responsibilities

  • Ensures the office space is fully equipped, clean, safe, and functional for day-to-day work.
  • Communicates and coordinates with service providers such as cleaners and maintenance.
  • Orders office supplies and snacks, manages door access, and communicates maintenance
    requests to the landlord.
  • Manages RMMFI’s coworking and rental space. Serves as the point of contact for
    interested parties, collects payments, and requests signed contracts.
  • Greets all guests coming into the office, answers questions, and refers them to the
    appropriate team members.
  • Sets up conference rooms for hybrid all-staff meetings.
  • Provides technology support to staff members and ensures A/V equipment is working
    correctly in the office.

  • Organize and compile bi-monthly bookkeeping packet for RMMFI’s bookkeeper.
  • Coordinate with the Director of Finance to collect payments and ensure all bills are paid on
    time.
  • Collects and logs mailed checks and invoices from the post office and deposits checks in
    the bank weekly.
  • Maintains confidentiality and accuracy in all financial documentation and transactions.
  • Communicates with staff members about any important back-office information.
  • Respond to general inquiries.
  • Basic data entry and departmental support
  • Conducts website updates and manages the entrepreneur business directory.
  • Other responsibilities as assigned.

No staff supervision

  • This position is in person in a small nonprofit office setting. All other staff members have a
    minimum requirement of two in-office work days per week.
  • The office environment is collaborative, mission-driven, and dynamic, with opportunities for
    cross-team engagement and open communication. Employees are expected to work both
    independently and as part of a team, contributing to a positive, inclusive, and flexible
    workplace culture.
  • While in the office, team members will have access to shared workspaces, meeting rooms, and
    necessary office equipment. Staff are expected to attend in-person meetings, trainings, and
    events when scheduled.

  • May lift up to 50 pounds on occasion
  • Walking and standing at events, as needed
  • Sitting for extended periods of time

  • Limited travel required to support daily operations (grocery, hardware store, bank, post office)
  • Travel outside of the local area where this position is located not required

This posting closes Friday, June 27th. Applicants must be available for a 30 minute phone
interview between Monday, June 30th – Wednesday, July 2nd as well as an in-person 60 minute
interview between Monday, July 7th – Wednesday, July 9th.
The start date is Monday, July 28th, no exceptions.

Work to build relationships in the community and previous RMMFI graduates to build a network of volunteers, train volunteers, and help entrepreneurs on their journey.

Work with trainers and managers to plan events where entrepreneurs can meet, network, and engage with the greater community. This position will work with trainers and managers to secure locations, find catering, create programs, and invite guests and RMMFI entrepreneurs.

Work with the Regional Manager on special organizational initiatives
